2. What Personal Data We Process and Why
2.1 When You Visit the Website
When you visit the Website, certain technical information is collected automatically, including your IP address, browser type, device type, operating system, referring website and the time of your visit.
Purpose: To operate, secure and troubleshoot the Website and to compile statistics regarding the use of the Website.
Legal basis: Our legitimate interest in operating a secure and properly functioning Website, pursuant to Article 6(1)(f) of the General Data Protection Regulation (“GDPR”). Where information is collected through cookies or similar technologies that are not strictly necessary, the processing is based on your consent pursuant to Article 6(1)(a) of the GDPR and the applicable Danish cookie regulations.
Retention: Technical log data is retained for up to 12 months, after which it is deleted or anonymised.
2.2 When You Contact Us via Forms, Email or Telephone
When you complete a contact form on the Website (including the “Talk to an expert” form), or contact us by email or telephone, we process the information you provide to us. This will typically include your name, email address, telephone number, company, job title and the content of your enquiry, such as a description of your technical application or request.
Purpose: To respond to your enquiry, provide technical advice, prepare quotations and engage in discussions regarding potential cooperation.
Legal basis: Our legitimate interest in responding to enquiries and providing services to prospective and existing customers, pursuant to Article 6(1)(f) of the GDPR. If your enquiry concerns entering into a contract, the legal basis is Article 6(1)(b) of the GDPR (steps taken prior to entering into a contract).
Retention: Enquiries that do not result in a customer relationship are retained for up to 24 months following the most recent contact. If the enquiry results in a customer relationship, the information will be retained as part of that customer relationship as described in Section 2.3.
2.3 When You Are a Customer or Supplier
If you represent a customer, supplier or distributor, we process your contact information (name, job title, company, email address and telephone number), as well as correspondence and contractual documentation.
Purpose: To administer our customer and supplier relationships, including order processing, delivery, invoicing and support.
Legal basis: Performance of a contract pursuant to Article 6(1)(b) of the GDPR, as well as our legitimate interest in administering business relationships pursuant to Article 6(1)(f) of the GDPR. Accounting records are retained in order to comply with our legal obligations pursuant to Article 6(1)(c) of the GDPR.
Retention: Information forming part of accounting records is retained for five years from the end of the financial year to which the records relate, in accordance with the Danish Bookkeeping Act. Other information is retained for as long as the business relationship continues and, as a general rule, is deleted no later than three years after the relationship has ended.
Exception for Ex products (ATEX): If your contact information forms part of order, delivery or certification documentation relating to Ex products (equipment intended for use in potentially explosive atmospheres), we retain the information for at least 10 years following delivery of the product. We do so in order to comply with our legal obligations concerning product safety, traceability and recalls under the ATEX Directive (2014/34/EU), as well as our certification under ISO/IEC 80079-34, pursuant to Article 6(1)(c) of the GDPR.
